This Privacy Policy ("Policy") describes how we collect, use, disclose, and protect your information when you access or use the ManageSpace website at manage.space, the ManageSpace Newsroom editorial platform, subscriber services, and any communications sent by ManageSpace or on behalf of ManageSpace Clients (collectively, the "Services").
This Policy applies to all users of the Services, including editorial subscribers, property tenants who receive communications through the ManageSpace platform, and visitors to our website. Please read this Policy carefully. By using the Services, you consent to the practices described herein.
2. Information We Collect
2.1 Information You Provide Directly
We collect information that you voluntarily provide when you interact with the Services, including:
Account Registration Information: When you create an account, we collect your name, email address, and any other information you provide during the registration process. Account registration is managed through Clerk, our authentication provider.
Contact Information: Your email address, phone number (including mobile number), mailing address, and other contact details you provide when subscribing to newsletters, opting into communications, or contacting us.
Communication Preferences: Your choices regarding which types of communications you wish to receive and through which channels (email, SMS, push notifications).
Correspondence: Any messages, feedback, inquiries, or other communications you send to us.
2.2 Information Collected Automatically
When you access the Services, we automatically collect certain information, including:
Usage Data: Pages visited, content viewed, time spent on pages, scroll depth, click patterns, referring URLs, and navigation paths.
Device and Browser Information: IP address, browser type and version, operating system, device type, screen resolution, and language preferences.
Cookies and Similar Technologies: We use cookies, web beacons, pixel tags, and similar tracking technologies to collect information about your interactions with the Services. See Section 7 for more detail.
2.3 Information from Third Parties

ManageSpace Clients (Property Operators): Property operators who use the ManageSpace platform may provide us with your contact information (name, email, phone number, mailing address) and tenancy-related information so that we can deliver Communications on their behalf. This includes information necessary to facilitate property management communications such as payment reminders, facility notifications, and operational updates.
Authentication Providers: When you sign in using our authentication service (Clerk), we receive profile information associated with your account.
Analytics and Advertising Partners: We may receive aggregated or de-identified analytics data from third-party partners.
3. How We Use Your Information
We use the information we collect for the following purposes:

4. Communications and Messaging
This section provides important information about how your data is used for electronic communications, including SMS and text messaging.
4.1 Editorial Communications
When you subscribe to ManageSpace Newsroom, we use your email address (and phone number, if provided and opted in) to deliver editorial content including newsletters, article notifications, industry analysis, and breaking news alerts. You can manage your editorial communication preferences through your account settings or by using the unsubscribe link in any email.
4.2 Client Communications via Twilio and Other Providers
ManageSpace provides a communications infrastructure that enables property operators (our Clients) to send messages to their tenants and customers. To deliver these Communications, we use third-party messaging service providers, including Twilio, Inc.
When a Client sends a Communication through the ManageSpace platform:
(a) The Client determines the content, recipients, and timing of the Communication;
(b) ManageSpace processes and transmits the Communication using Twilio or other messaging providers;
(c) Your contact information (phone number and/or email address) is shared with the messaging provider solely for the purpose of delivering the Communication;
(d) Message delivery data (delivery status, timestamps, error codes) is collected and retained for operational and compliance purposes.
In the context of Client Communications, ManageSpace acts as a data processor on behalf of the Client (data controller). The Client is responsible for ensuring they have obtained appropriate consent from you to receive Communications and that the content of Communications complies with applicable laws.
4.3 Consent for SMS and Text Messages
We will only send you SMS or text messages if you have provided your phone number and consented to receive text Communications, either:
(a) By opting in through the ManageSpace website or account registration process;
(b) By providing your phone number to a ManageSpace Client who has informed you that Communications may be sent via the ManageSpace platform;
(c) By texting a keyword (such as START or SUBSCRIBE) to a ManageSpace or Client short code or phone number.
You may opt out of SMS at any time by replying "STOP" to any text message. You may also text "HELP" for assistance or contact us at privacy@manage.space.
Message and data rates may apply. Message frequency varies depending on the type of communication and the operational needs of the relevant property operator.
4.4 No Sharing of Phone Numbers for Marketing
We do not sell, rent, or share your phone number with third parties for their own marketing purposes. Phone numbers collected through the Services are used solely for delivering Communications as described in this Policy. Phone numbers are shared with messaging service providers (such as Twilio) only as necessary to deliver Communications on behalf of ManageSpace or its Clients.
5. How We Share Your Information
We do not sell your personal information. We share your information only in the following circumstances:

All service providers are contractually obligated to use your information only to perform services on our behalf and in accordance with this Policy.
5.2 ManageSpace Clients
When you interact with a property managed by a ManageSpace Client, we may share Communication delivery data (such as delivery confirmations and read receipts, where available) with the Client to enable them to manage their tenant communications effectively. We do not share your personal information with Clients beyond what is necessary for the operation of Communications you have consented to receive.
5.3 Legal Requirements
We may disclose your information if required to do so by law or in response to valid requests by public authorities, including to meet national security or law enforcement requirements, respond to subpoenas, court orders, or legal process, protect the rights, property, or safety of ManageSpace, our users, or others, or enforce our Terms and Conditions.
5.4 Business Transfers
In the event of a merger, acquisition, reorganisation, bankruptcy, or sale of all or substantially all of our assets, your personal information may be transferred as part of that transaction. We will notify you of any such transfer and any choices you may have regarding your information.
6. Data Retention
We retain your personal information for as long as necessary to fulfil the purposes described in this Policy, including:
Account Information: Retained for the duration of your account and for a reasonable period thereafter (typically 24 months) to allow for account reactivation and to comply with legal obligations.
Communication Records: SMS, email, and other Communication delivery records are retained for a minimum of 24 months to comply with applicable telecommunications regulations and for dispute resolution purposes.
Consent Records: Records of your consent to receive Communications (including opt-in date, method, and source) are retained for the duration of your consent and for a minimum of 48 months after opt-out to demonstrate compliance with applicable regulations including TCPA and CASL.
Usage Data: Automatically collected usage data is retained in aggregate or de-identified form for analytics purposes.
When your information is no longer required, we will securely delete or anonymise it in accordance with our data retention policies.
7. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to operate and improve the Services. Cookies are small data files stored on your device that help us remember your preferences, understand how you interact with the Services, and improve your experience.
7.1 Types of Cookies We Use
Essential Cookies: Required for the basic functionality of the Services, including authentication, security, and session management. These cookies cannot be disabled.

8.5 Exercising Your Rights
To exercise any of these rights, contact us at privacy@manage.space. We will respond to your request within thirty (30) days. We may need to verify your identity before processing your request.
9. Canadian Privacy Law Compliance
ManageSpace LLC is a Canadian company and complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).
9.1 PIPEDA
Under PIPEDA, we collect, use, and disclose your personal information only for purposes that a reasonable person would consider appropriate in the circumstances. We obtain your consent for the collection, use, and disclosure of your personal information, except where permitted or required by law.
9.2 CASL
Under CASL, we send commercial electronic messages only to recipients who have provided express or implied consent. Every commercial electronic message we send includes our identity and contact information, a clear and prominent unsubscribe mechanism, and information about the person who authorised the message (where applicable, including the Client on whose behalf the message is sent).
You may withdraw your consent at any time, and we will process your unsubscribe request within ten (10) business days as required by CASL.
10. United States Privacy Law Compliance
10.1 TCPA
ManageSpace and its Clients comply with the Telephone Consumer Protection Act (TCPA). We obtain prior express consent before sending SMS or text messages. For marketing messages, we obtain prior express written consent. Text messages are sent using automated systems, and recipients may opt out at any time by replying STOP.
10.2 CAN-SPAM
Our email Communications comply with the CAN-SPAM Act. All commercial emails include accurate header information, a clear identification that the message is an advertisement (where applicable), our physical mailing address (9 Moscariello Pl, Norwalk, CT 06820), and a functioning opt-out mechanism.
10.3 State Privacy Laws
If you are a resident of California, Virginia, Colorado, Connecticut, or another state with comprehensive privacy legislation, you may have additional rights under your state's privacy law, including the right to know what personal information we collect, the right to delete your personal information, the right to opt out of the sale or sharing of personal information (we do not sell personal information), and the right to non-discrimination for exercising your privacy rights. 11. Data Security
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls and authentication mechanisms, regular security assessments, and employee training on data protection.
While we strive to protect your personal information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.
12. International Data Transfers
ManageSpace LLC is headquartered in Canada. Your information may be processed and stored in Canada, the United States, or other countries where our service providers maintain facilities. By using the Services, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence.
Where we transfer personal information across borders, we ensure appropriate safeguards are in place, including contractual obligations on our service providers to protect your information.
13. Children's Privacy
The Services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly. 14. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors.
